Definitions

Our privacy policy is intended to be simple and understandable for everyone. Therefore, we generally use the official definitions of the General Data Protection Regulation (GDPR) in this privacy policy. The official definitions are explained in Art. 4 GDPR.

Server Log Files

When you access our website, it is technically necessary for your internet browser to transmit data to our web server. The following data is recorded during an active connection between your internet browser and our web server:

  • Date and time of the request
  • Name of the requested file
  • Page from which the file was requested
  • Access status
  • Browser and operating system used
  • (Full) IP address of the requesting computer
  • Amount of data transferred

We collect this data to ensure a smooth connection setup for the website and to enable a user-friendly experience. In addition, the log file serves to analyse system security and stability as well as administrative purposes. The legal basis for the temporary storage of the data and log files is Art. 6(1)(f) GDPR.

For technical security reasons, particularly to defend against attempted attacks on our web server, we store this data for a short period. It is not possible for us to identify individual persons based on this data. After no later than 2 years, the data is anonymised by shortening the IP address at domain level so that a relation to an individual user is no longer possible.

In anonymised form, the data may also be processed for statistical purposes. This data is never stored together with other personal data of the user, compared with other data sets or passed on to third parties.

Cookies

Our website uses cookies, which are stored by your browser on your device and contain specific settings for using the website (e.g. for the current session). Cookies help make our services more user-friendly, effective and secure. Cookies are small text files stored on your device by your browser.

Most of the cookies we use are so-called session cookies, which are automatically deleted after closing your browser. Other cookies remain stored on your device until you delete them or until their storage period expires. These cookies allow us to recognise your browser on your next visit. Web Form for Requesting an Offer

Our website provides a web form that allows you to contact us to request a non-binding offer for our services via email and telephone. Personal data transmitted via the web form is encrypted.

If you use this option, the data entered in the form is transmitted to us and stored. This includes:

  • email address
  • first name and last name
  • title
  • company name

At the time of sending the message, the following data is also stored:

  • date and time

Your data will not be passed on to third parties. Processing takes place solely for the stated purpose — sending an offer and contacting you by telephone.

The legal basis for processing is:

  • performance of pre-contractual measures or a contract (Art. 6(1)(b) GDPR), or
  • your explicit consent (Art. 6(1)(a) GDPR).

Personal data is deleted as soon as it is no longer necessary for the purpose of collection. Offer-related data is deleted once the offer has been sent and a timely attempt to contact you by phone has been made or has failed.

Continued processing only occurs if necessary for the initiation or execution of a contract.

Contact Form and Email Contact

When you contact us via contact form or email, the data you provide — including first and last name, title and your message — is stored for processing and for possible follow-up questions.

Providing your email address, name and company name is required for contacting you. We do not share this data with third parties without your consent.

The legal basis is:

  • our legitimate interest in responding to your enquiry (Art. 6(1)(f) GDPR) or
  • Art. 6(1)(b) GDPR if the enquiry concerns contract initiation.

Your data is deleted after your enquiry has been fully handled unless statutory retention periods require otherwise. You may object to the processing of your data under Art. 6(1)(f) GDPR at any time.

Web Form for Submitting Applications

When you apply to us using our online application form, we collect personal data such as:

  • Contact details (first/last name, title, address, phone number, email)
  • Documents relating to your background (CV, qualifications, degrees, work experience)
  • Additional information provided by you (cover letter, personal interests)
  • Special categories of personal data, if provided (e.g. disability information)

Your data is usually collected directly from you and encrypted during transmission.

Processing serves the purpose of establishing an employment relationship.
Legal basis: Art. 6(1)(b) GDPR.
If processing is based on consent, you may withdraw consent at any time.

Within our company, only those persons who are responsible for conducting the application process have access to your data. Data is not transferred to unauthorised third parties.

Application data is stored for the duration of the application process. After completion (acceptance or rejection), data is deleted after 6 months. If an offer is accepted and the start date is more than six months away, we reserve the right to store the data longer.

Newsletter

If you would like to receive the newsletter offered on the website, we require your email address as mandatory information. Additional data helps us address you personally or identify you in case you wish to exercise your rights as a data subject.

We use the double opt-in process. First, you receive an email with a confirmation link. Only after confirmation will we send the newsletter. With your confirmation, you give consent pursuant to Art. 6(1)(a) GDPR.

We store:

  • your email address
  • IP address used during subscription
  • date and time of subscription and confirmation

You may unsubscribe at any time via the link in each newsletter or by contacting the controller. Your email address will then be deleted unless further use is legally permitted.

Our newsletter is sent via Salesforce, Inc., 415 Mission St, San Francisco, CA 94105 (“salesforce.com”). Your data is stored on servers in the USA.

Salesforce uses tracking technologies (web beacons, tracking pixels) for statistical evaluation. Collected data is pseudonymised and not linked to other personal data. It includes:

  • whether the newsletter was opened
  • clicked links
  • conversion events
  • technical data (time of retrieval, IP, browser, OS)

If you object to data analysis, you must unsubscribe from the newsletter.

We have concluded a data processing agreement with Salesforce. Data transfer relies on Salesforce’s Binding Corporate Rules and the EU Standard Contractual Clauses.
